The Social Security Number Verification Service (SSNVS) is a free online tool from the Social Security Administration (SSA) that allows employers and certain authorized agents or service providers acting on behalf of employers for wage reporting purposes to verify that an employee's name and Social Security number (SSN) match SSA records before filing Forms W-2. Verifying employee information before year-end reporting helps reduce W-2 errors and minimize corrected wage statements.

For tax professionals who provide payroll services or advise business clients, understanding how to use the service can improve filing accuracy and reduce costly reporting mistakes while helping ensure employees receive proper credit for their earnings.

Why should employers verify employees' Social Security numbers?

If an employee's name or SSN does not match SSA records, the mismatch can cause wage reporting problems. If incorrect information is reported on Form W-2, the employer may need to file a corrected form.

Many payroll errors are not caused by tax law. Instead, they result from simple data entry mistakes, name changes or incorrect SSNs. While payroll software helps identify formatting issues, it cannot verify that employee information matches SSA records.

What is the Social Security Number Verification Service?

The service is available through the SSA's Business Services Online (BSO) portal. SSNVS compares employee names and SSNs against SSA records and confirms whether the information matches.

Eligible users can choose between two verification methods:

  • Verify up to 10 employee names and SSNs online and receive immediate results.
  • Upload a file containing as many as 250,000 employee records for verification. Results are typically available after SSA processes the file, often by the next government business day.

The online option works well for resolving individual discrepancies or verifying newly hired employees once an employer-employee relationship has been established. Larger payrolls or multiple business clients can use the file upload option.

Who can use SSNVS?

Before using SSNVS, users must register through SSA's Business Services Online portal and complete the required identity verification process.

Eligible users include:

  • Employers
  • Tax professionals and other third-party submitters contracted by employers to handle annual wage reporting responsibilities or perform an administrative function directly related to those responsibilities

What does SSNVS verify?

The service verifies only that a current or former employee's name and Social Security number match SSA records for Form W-2 wage reporting purposes.

SSNVS does not:

  • Verify employment authorization
  • Confirm immigration status
  • Replace E-Verify or Form I-9 requirements

A mismatch alone is not a basis for taking adverse action against an employee.
